Client: A skin clinic in Dubai

Problem: Existing patients due for repeat treatments weren’t coming back.

Discovery: Understanding existing customer behaviour with the brand and industry.

Solution: An outbound AI voice agent that calls patients around their treatment due date and upsells a complementary service.

Outcome: Recovered a revenue stream that was previously left to manual follow-up (or no follow-up at all).

THE PROBLEM

Most skin treatments—peels, laser sessions, fillers, and maintenance facials—work on a treatment cycle. A patient who received a treatment eight weeks ago is often due for the next session. That due date is a natural, high-intent moment to reconnect with the patient.

The clinic had no structured system to act on these opportunities. Reception staff were occupied with inbound calls and walk-ins, so outbound follow-ups for repeat treatments happened inconsistently, if at all.

New patients were coming in every month, the reception team was busy, and the doctors were fully booked. Like most clinics, the entire focus was on acquiring new customers through advertisements, referrals, and social media campaigns.

Think of a clinic’s customer base like a hen. Most clinics spend all their time searching for new hens, but the real value comes from taking care of the one you already have because that’s what keeps producing eggs again and again.

The clinic had hundreds of past customers, but very little effort was being made to bring them back. This is where SriAI identified a significant missed opportunity.

DISCOVERY

SriAI analyzed customer behaviour and discovered a simple pattern. Most customers visited the clinic for the first time because of advertisements, social media campaigns, or referrals.

Instead of asking, “How can we get more new customers?”, SriAI asked a different question: “How can we bring existing customers back?”

THE SOLUTION & PROJECT EXECUTION

When the team analyzed the clinic’s customer database, they found hundreds of patients who had already experienced the clinic’s services. These patients already trusted the doctors and had invested both time and money in their treatments.

The challenge was no longer convincing people to try the clinic for the first time. The real challenge was giving existing patients a reason to return.

However, manually reaching out to every customer wasn’t practical. The reception team was already busy managing appointments, answering calls, handling walk-ins, and supporting day-to-day clinic operations.

To solve this, SriAI deployed Varun AI, an AI-powered voice agent trained on the clinic’s services, treatment offerings, communication style, and promotional campaigns.

Instead of relying on manual follow-ups, the clinic could now reconnect with past customers automatically and at scale.

APPROACH & EXECUTION

SriAI Approach & Execution

First, SriAI worked with the clinic to identify treatments that were most suitable for repeat customers. The focus was on services customers were naturally likely to return for while also generating meaningful recurring revenue.

Next, targeted offers were created for different customer segments. Rather than sending the same promotion to everyone, offers were personalized based on treatment history and customer needs.

Finally, Varun AI began proactively reaching out to these customers through automated voice calls.

How It Works

  • Due-Date Trigger
The AI identifies patients approaching their next treatment window based on their previous visit and treatment type.
  • Outbound Call
The AI calls the patient, reminds them that their treatment is due, and books the appointment immediately if they’re ready.
  • Upsell During the Call
While booking, the AI recommends a complementary service—for example, an add-on facial with a scheduled peel—presented as a natural enhancement rather than a hard sell.
  • Confirmation & Handoff
Once the patient confirms, the AI sends a WhatsApp confirmation and transfers the booking details to the clinic’s front desk for scheduling.

OUTCOME

The impact of the campaign became visible within the first month.

  • 30% year-on-year growth driven by an increase in repeat customer visits.
  • Generated more revenue from the clinic’s existing customer base.
  • Turned the previously unused customer database into a valuable business asset.
  • Made follow-ups and promotional campaigns significantly easier and more consistent.
  • Reduced the workload on the reception team by automating customer outreach through Varun AI.
  • Enabled faster campaign launches without increasing administrative effort.

Terms and Conditions

1. Agreement and scope

These Terms govern your use of getsriai.com, its demo forms, waitlist and related Revenue Engine previews offered by SriAI. By using the site or submitting a form, you agree to these Terms. If you use the service for a business, you represent that you may act for that business. A separate signed client agreement, if any, governs a paid deployment and takes priority in case of conflict.

2. What the service does

The Revenue Engine can receive an enquiry, prepare an engagement response (such as a travel itinerary), send it by WhatsApp or email, place an automated voice call through a provider, and give a sales team an intent score. Availability and timing depend on valid details, provider availability, consent and the client’s setup. References to a 60-second response describe the intended workflow, not a guarantee of delivery or connection within exactly 60 seconds.

3. Demo and enquiry forms

Website examples and demo forms illustrate the product. A demo itinerary, property detail, price indication, recommendation or score may be incomplete, generated from the information supplied, or illustrative. Submitting a form does not book travel, reserve property, create a client contract or guarantee a quote or response. Check schedules, prices, availability, visas, property particulars and other material facts directly with the relevant provider before making a commitment.

4. Your responsibilities

Give accurate information you are entitled to provide. Do not impersonate someone, submit another person’s contact details without authority, abuse forms, interfere with the site or use it for unlawful purposes. Do not submit confidential financial, identity or health details unless a specific secure flow asks for them. If you are a business client collecting your customers’ enquiries, you remain responsible for suitable notices, permissions and the content and accuracy of what you offer them, subject to your client agreement and applicable law.

5. Communications

If you request a response and provide appropriate permissions, SriAI or the relevant business may contact you through the channels described at collection, including WhatsApp, email and automated calling. You can ask to stop optional communications by contacting solutions@getsriai.com or the business that received your enquiry. Our Privacy Policy explains the handling of personal data.

SriAI operates getsriai.com and offers the Revenue Engine to business clients. This policy covers visitors to our website, people who contact us or join our waitlist, and people who submit an enquiry through a Revenue Engine form or demo. If a client uses the Revenue Engine on its own website, that client may decide why it collects your enquiry and is responsible for its own privacy notice. SriAI may process the enquiry on the client’s instructions. Read that client’s notice too. 2. Information we collect
Depending on how you interact with us, we collect your name, work or personal email address, phone number, company and website, enquiry details (such as destination, travel dates, budget, preferences or project interest), messages you send, consent choices, and technical information such as device, browser, approximate location from IP address and website activity. If you take an automated call, we may process its status, recording, transcript, answers and an intent score (for example hot, warm or cold). We also keep delivery, error and timing records needed to run and protect the service. Do not put payment details or sensitive personal information in a free-text enquiry.

3. Why we use it
We use this information to receive and respond to enquiries; prepare and deliver relevant material such as a travel itinerary by WhatsApp or email; place a follow-up automated voice call where permitted; assess interest and pass an enquiry and its score to the relevant business or sales team; manage a demo or waitlist request; answer support questions; troubleshoot, secure and improve the service; and meet applicable legal duties. An intent score is a sales-priority signal, not a decision about eligibility for credit, employment or another legal right. We will not treat a request for an itinerary as permission for unrelated marketing.

4. Notice, consent and choices
Where consent is required, the form or call flow should explain the specific communications and processing before they occur, including WhatsApp delivery, automated calls and recording where applicable. You may decline an optional marketing choice, withdraw consent for that purpose or ask us to stop contacting you at solutions@getsriai.com. Withdrawal will not affect processing already carried out lawfully. If we act for a client, we may refer your request to that client or help it fulfil the request. Calls and messages remain subject to applicable telecommunications and platform rules. Our developer must not switch on recording or business-initiated messaging until the notice, consent and applicable provider setup have been checked.

5. How we share data
We share information only as needed for the purposes above: with the business that received your enquiry and its authorised team; with Make.com for workflow automation, Bolna for voice calls and related call records, Meta/WhatsApp for message delivery, and Hostinger for hosting; and with other service providers if needed to operate or protect the service, under appropriate arrangements. We may disclose information when required by law or to protect rights and security. Providers may process information outside India where the law permits; we do not promise that all information stays in India. We do not sell your enquiry data.

6. Retention and security

We keep personal data only while needed for the stated purpose, an active client relationship, a legitimate support or dispute need, or a legal obligation, then delete or de-identify it where reasonably possible. Client-held copies may follow the client’s own retention schedule. Access should be limited to authorised people, and appropriate technical and organisational safeguards should protect the data. Non-essential analytics or marketing technologies should be enabled only with the notice and choice required by applicable law. Browser settings can restrict cookies, though some features may stop working. The developer should list actual cookie and analytics vendors before launch rather than treating this paragraph as proof they are installed.

8. Your rights and complaints
Subject to applicable law, including the Digital Personal Data Protection Act, 2023 and rules as they take effect, you may ask for a summary of your personal data and how it is used or shared, seek correction or completion, request erasure when it is no longer needed, withdraw consent, and raise a grievance. You may also nominate another person to exercise rights where the law provides. Email solutions@getsriai.com with enough detail to identify the enquiry. We may verify your identity before responding and may need to retain information required by law.
